Apply your Activation Key before its Install By date.
When your purchase payment is confirmed, you will be sent via email an Activation Key.
This Activation Key will include instructions and the keycode that will activate the AyaNova database for the licenses you have purchased (schedulable users, or the optional add-ons QBI, PTI, MBI and/or WBI).
The Activation Key will have an Install By date which will be midnight seven days from date of purchase - for example, if you purchased October 5th, the Install By date will be midnight October 11th (October 12 12:00AM).
Once a keycode is applied, it does not need to ever be re-applied.
In the event of a need to re-install, you would restore the database from backup which would restore your data as well as the license.

What is the username and password to log into AyaNova while in trial mode?.
The default trial user is " test " with the password " test ".
(lowercase and without the quotation marks).
The default AyaNova Administrator is " manager " with the password " letmein " (lowercase and without quotation marks) By default, while in limited evaluation mode, the AyaNova Administrator username and password will be pre-entered for you as a convenience.
You can also log in as other sample users that have different security rights, including sample users for different locales (German, Spanish, French).

, Can I delete the sample data that is in the trial AyaNova?.
You can manually delete the existing data in the trial AyaNova database by opening the entry screen for each object and selecting Delete.
The exception would be the sample users which can not be edited or deleted while in trial mode.
When AyaNova is licensed, you can delete all data following the instructions in the AyaNova Help.

If you have reached your total licenses, the program will not allow you to to set additional Schedulable Users as Active If you uncheck the ACTIVE box making a Schedulable User in-active you free up their license and it goes back into the pool for use with another user.
In this way you can temporarily or permanently free up a license for situations like someone leaving the company and a replacement coming on or for a temporary relief technician while another is on holidays.
Inactive schedulable users do not appear on lists for scheduling or creating NEW work orders, however they will still appear on closed work orders so all their historical data is still kept in the database, but their license is freed up.
This way you do not need to resort to deleting a schedulable user or renaming them to free up a license, you simply uncheck the box and your ready to enter your new replacement schedulable user without affecting any data that applies to the de-activated technician., For companies that employ sub-contractors, you could determine a time period that jobs are scheduled for.
Than determine the number of contractors employed in this time - and that would be the number of licenses to purchase.
For example, if you book no farther than two months ahead: determine what the total number of different techs you had scheduled over the course of the busiest consecutive two months if you book no farther than two months ahead and that will be the number of schedulable user licenses to purchase.
Or you could purchase licenses based on the different types of jobs.
For example if you were a general contractor for building homes, you would purchase as many licenses as there are different jobs - one license to schedule and track electricians, one license to schedule and track plumbers, one license to schedule general carpenters, one license to schedule specialized carpenters, etc etc.

How it works.
The AyaNova QBI program acts as a " bridge " between your QuickBooks company data file and the AyaNova database.
The AyaNova QBI program does not itself maintain any data.
All settings are maintained in the AyaNova database.
AyaNova QBI queries the QuickBooks company data file that is running for its customers, vendors and items, and queries the AyaNova database for its clients, rates, parts and vendors and billable service workorders.
Use AyaNova QBI to easily drag and drop AyaNova and QuickBooks objects for linking and importing so that billable items in the AyaNova workorder equate to items in QuickBooks.
When an AyaNova service workorder meets the requirements that indicate it is ready for being invoiced, that service workorder will display in AyaNova QBI where you select to invoice it - at which time it updates the AyaNova service workorder that it has been invoiced and creates the invoice in QuickBooks.

Linking is different from importing in that the original AyaNova record is preserved as-is and is marked internally with the record in QuickBooks that it matches to.
This is also useful when you have records in AyaNova that differ from QuickBooks.
For example, you may have multiple clients in AyaNova that represent separate locations for service but want to link them all to a single QuickBooks client for billing.
This is also useful if you have many pre-existing items in AyaNova as you can link them to QuickBooks records without losing their historical data as you would if you started with newly imported items.
If you have already entered in items (clients, parts, rates) into AyaNova, if they have the exact same name as in QuickBooks, they can be auto-linked instead of having to be manually individually re-linked.

Refresh mapped/imported part's data and mapped/imported client's data.
With QBI, once you have mapped/imported AyaNova data and QuickBooks data, and if you make a change you can Refresh so that the changes you made are imported to its linked object in the other database.
For example, let's say you have imported QuickBooks clients into AyaNova, and then at a later time, change the client address in AyaNova - you can easily use the Refresh QuickBooks Record to update the QuickBooks clients with the changes in the AyaNova client record.
Or another example, let's say that you have imported AyaNova parts into QuickBooks, and then at a later time, you have made changes in the part's price or cost in QuickBooks - - you can easily use the Refresh AyaNova Record to update the AyaNova parts with the changes in the QuickBooks part record.

Fix unlinked objects and/or parts with differing pricing easily before invoicing.
When QBI displays the list of workorders that are ready for invoicing, it will advise you if anything in the billable workorder does not have linked objects (i.e.
the client is not linked between AyaNova and QuickBooks, etc) or if a price in QuickBooks is different than that in AyaNova so that you can easily fix it before invoicing.

Export data from AyaNova service workorders into QuickBooks invoices.
AyaNova QBI can be used to quickly and easily turn AyaNova work orders into QuickBooks invoices.
All billable items in an AyaNova work order can be exported into an invoice in QuickBooks.
This saves re-entering data manually because the data in the service workorder is directly converted to a QuickBooks invoice without any retyping of information.
AyaNova QBI work order export into QuickBooks invoice has the following features:.
QBI auto select work orders for billing based on AyaNova status and displays the workorders ready for invoicing.
Price protection for parts: AyaNova QBI flags part prices that differ in AyaNova from QuickBooks.
You can accept the difference, or change the AyaNova service workorder, or change the AyaNova item price, or change the QuickBooks price to match the AyaNova service workorder - with a click.
Apply discounts set to part prices in AyaNova for a specific workorder to the invoice.
If a labor item in an AyaNova workorder has been banked via Banked Service, QBI will invoice the labor item at 0$ amount.
This way, if your client has pre-paid for service, and you have banked the service charges against their pre-paid amount, the client will not be re-billed for that service in a QuickBooks invoice.
Automatically ensures that work orders contain only items that are recognized by QuickBooks.
If an item has not yet been linked to QuickBooks you can link it quickly and easily.
Set descriptive text to include on invoice for the work order - such as work order number, Quick Description field from work order, unit (client equipment) selected within work order, labor details, etc.
Via the QBI setup, select the QuickBooks template invoice you wished used if applicable (depends on the version of QuickBooks if available).
Choice of invoicing out per service workorder, or by default consolidate service workorder billable information into one invoice for the same client.
All data sent to QuickBooks in the process of creating invoices is automatically verified by QuickBooks for validity.
Unlike older .iif file import/ export methods of getting data into QuickBooks, AyaNova QBI uses the much more robust software developer interface provided by Intuit for use with QuickBooks.

Although we encourage that your customer receives a AyaNova service workorder report that details all service information, you do have the option to have descriptive text from the AyaNova service workorder display on the QuickBooks invoice.

Its an easy drag and drop to link existing AyaNova data with existing Peachtree data.
Linking is different from importing in that the original AyaNova record is preserved as-is and is marked internally with the record in Peachtree that it matches to.
This is also useful when you have records in AyaNova that differ from Peachtree.
For example, you may have multiple clients in AyaNova that represent separate locations for service but want to link them all to a single Peachtree client for billing.
This is also useful if you have many pre-existing items in AyaNova as you can link them to Peachtree records without losing their historical data as you would if you started with newly imported items.

the client is not linked between AyaNova and Peachtree, etc) or if a price in Peachtree is different than that in AyaNova so that you can easily fix it before invoicing.

MBI is an AyaNova optional interface designed to support cell phones, pda's, Blackberries and other wireless devices equipped with a web browser.
MBI stands for " Mobile Browser Interface ".
This is a web interface designed to meet the needs of small screen devices and users who need fast access to essential information while on the road.
It's designed to be accessed from any modern wireless device that supports the minimal web browser standards as well as regular PC web browsers.

Which database should I use ?.
SQL or Firebird.
AyaNova is currently compatible with two different database servers: Microsoft SQL server and the open source database server Firebird Server (use version 2.1 with AyaNova 5.x) which has been in use in production systems since 1981.
AyaNova was developed with both Firebird and Microsoft SQL server simultaneously and is equally compatible with either.
Microsoft SQL Server.
Firebird.
Any version of Microsoft SQL server from version 2005 or newer.
This includes SQL Express as well as SQL Server.
Versions older than 2005 (i.e.
SQL server 7) are not.

Firebird is a free open source database server.
We looked long and hard at many different alternatives to support in addition to Microsoft SQL server and tested many out thoroughly.
Firebird is a relational database offering many ANSI SQL-99 features that runs on Linux and Windows.
Firebird offers excellent concurrency, high performance, and powerful language support for stored procedures and triggers.
It has been used in production systems since 1981.
Pros:.
Very powerful, can be scaled from a small network using one of the free versions up to an enterprise class solution involving clusters of SQL servers capable of supporting hundreds of thousands of simultaneous users.
Very powerful, in testing we've found in most cases Firebird is only slightly slower than SQL server 2000 with all hardware being equal.
However much depends on the exact operation being performed.
Free for the “light " version such as SQL Express 2005.
Requires little to no administration, once set up it just keeps working.
Light versions can be replaced with the full blown server editions as required.
Free with a very solid history in production use.
Has a very active community of developers.
Can be backed up while running with included utilities.
Can be run on a non Windows computer such as Linux saving the cost of an operating system for a computer being used solely as a database server.
Just as reliable as Microsoft SQL server in our experience, we have had no issues with either platform.
stand-a-lone FireBird database engine which is only 2MB in size.
Cons:.
The free light versions such as SQL Express 2005 may be too limited for some offices depending on the amount of data and how heavily AyaNova is used.
10 users or less will find performance good, as you go over that and add more and more data you may find performance decreasing as the light versions of SQL server have a built in throttling mechanism to limit their use to lighter loads.
Slightly slower under heavy loads: If for example, you were to display a huge list of thousands of records of data in AyaNova rather than filtering it by a date range as is recommended we have found Microsoft SQL server to be noticeably faster.
On the other hand when doing normal work in AyaNova entering work orders, printing them etc there is no significant difference.
Full SQL server can be relatively pricey.
It's open source free software, for some that is a bonus, others may find that worrisome.
We're not normally great proponents of free software for obvious reasons, but we did look at both commercial and open source alternatives to offer with MS-SQL server and it was technically the best match for the requirements of AyaNova.
Slower performance has been noted if hyperthreading is used, or dual processors in some cases.
